Admin Assistant – Office
Job Description: The Admin Assistant – Office provides essential administrative and clerical support to ensure smooth operations of the main office. This role is critical for maintaining office organization, managing correspondence, scheduling, and supporting various departments with their administrative needs. A successful Admin Assistant is detail-oriented, organized, and proactive in supporting team members. You will handle diverse tasks including document management, correspondence, scheduling meetings, and supporting office management activities. This position offers the opportunity to work in a professional environment and develop office management skills.
Responsibilities
- •Manage daily office operations including reception, telephone, and email management
- •Schedule and coordinate meetings, appointments, and conference calls
- •Prepare and maintain office documentation, files, and records
- •Process and file correspondence and ensure proper documentation systems
- •Coordinate office supplies and equipment procurement and inventory
- •Assist with travel arrangements and expense management
- •Provide support to multiple departments as needed
- •Maintain office cleanliness, safety, and compliance standards
- •Assist with data entry and database management
- •Support preparation of reports and presentations
- •Answer queries and provide information to visitors and callers
- •Perform general clerical duties and other administrative tasks
Requirements
- ✓Secondary school education (KCSE) or higher qualification
- ✓Minimum 2 years of office administration or secretarial experience
- ✓Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- ✓Strong organizational and time management skills
- ✓Excellent written and verbal communication in English and Swahili
- ✓Ability to multitask and work in a fast-paced environment
- ✓Professional demeanor and customer service orientation
- ✓Accurate data entry and attention to detail
- ✓Reliability and commitment to deadlines
