Admin Assistant – Field

Job Description: The Admin Assistant – Field provides administrative support to construction sites and field operations. This role ensures that site documentation, permits, records, and administrative requirements are properly managed to support smooth project execution. A successful field admin assistant is organized, detail-oriented, and comfortable working in dynamic site environments. You will handle site documentation, assist with regulatory compliance, manage site records, and support site management with administrative tasks. This position offers the opportunity to work on diverse construction projects across Kenya.

Responsibilities

  • Maintain comprehensive site documentation and records
  • Process and file site permits, licenses, and regulatory documents
  • Assist with site induction and record keeping
  • Manage site correspondence and communications
  • Coordinate site meetings and prepare minutes
  • Support safety documentation and compliance reporting
  • Assist with contractor and subcontractor documentation
  • Maintain site equipment and asset registers
  • Support site inspection scheduling and documentation
  • Assist with daily site operations administrative needs
  • Coordinate with office for site administrative support
  • Ensure proper filing and archiving of site documents

Requirements

  • Secondary school education (KCSE) or higher qualification
  • Minimum 2 years of site administration or field support experience
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint)
  • Strong organizational and record-keeping skills
  • Excellent written and verbal communication in English and Swahili
  • Ability to work in construction site environments
  • Attention to detail and accuracy
  • Valid driver's license and willingness to travel to project sites
  • Familiarity with construction documentation and processes
