Personal Assistant

Job Description: The Personal Assistant provides comprehensive executive support to senior management, ensuring that executives can focus on strategic responsibilities. This role involves managing calendars, coordinating schedules, handling correspondence, and providing organizational support. A successful Personal Assistant is detail-oriented, discreet, and excellent at managing multiple priorities. You will work independently, use sound judgment, and maintain the highest standards of confidentiality and professionalism. This position offers the opportunity to work closely with senior leadership and develop executive support skills.

Responsibilities

  • Manage executive calendar and schedule meetings
  • Coordinate travel arrangements and logistics
  • Prepare correspondence and documents for executives
  • Screen calls and manage email on behalf of executive
  • Arrange board meetings and prepare meeting materials
  • Maintain confidential records and files
  • Provide administrative support for executive functions
  • Assist with event planning and coordination
  • Manage executive expenses and reimbursements
  • Coordinate with other departments on behalf of executive
  • Prepare reports and presentations
  • Maintain professional communication protocols

Requirements

  • Secondary school education (KCSE) or higher qualification; degree preferred
  • Minimum 4 years of executive or personal assistant experience
  • Proficiency in MS Office Suite and email management systems
  • Excellent organizational and time management skills
  • Exceptional discretion and confidentiality awareness
  • Strong written and verbal communication in English and Swahili
  • Ability to manage multiple priorities and deadlines
  • Professional demeanor and etiquette
  • Strong interpersonal and diplomacy skills
  • Valid driver's license (preferred)
